Privacy Policy

Who we are and what this policy covers
ComplianceVault, LLC (“ComplianceVault,” “we,” “us”) builds regulatory and compliance software. This policy explains how we handle personal information collected through our website, compliancevault.group (the “Site”), and when you contact us.
Our software products (SubmissionVault, COMPLicense, MedGuard and RelayDesk) each have their own privacy policy and customer agreements. Those documents govern the information customers store in the products. Where a product’s own policy applies, it controls for that product.
Information we collect
Information you give us
When you use our contact form, we collect your name, email address, company, the product you’re interested in and your message. If you email or call us, we receive whatever you choose to share.
Information collected automatically
Like most websites, our web server and hosting provider record standard technical information when you visit, such as your IP address, browser type, the pages you request and the date and time. We use it to operate and secure the Site.
Cookies
The Site does not use advertising cookies or third-party analytics. WordPress, the software the Site runs on, may set cookies that are strictly necessary for it to work, such as for site administrators who sign in.
Fonts
The Site loads its fonts from Google Fonts. When your browser downloads them, Google receives your IP address. Google’s handling of that information is described in the Google Privacy Policy.
How we use your information
- To respond to your inquiry, schedule a demo and tell you about the products you asked about.
- To send occasional product updates, only if you’ve chosen to receive them. Every such email includes a way to unsubscribe.
- To operate, maintain and secure the Site, and to prevent abuse.
- To comply with the law and enforce our terms.
How we share your information
We don’t sell your personal information, and we don’t share it for advertising.
We share information only with service providers that help us run the Site and our business, such as our website hosting provider and our email provider, and only as needed for them to provide those services. Contact form submissions are stored in the Site’s own database. We may also disclose information when the law requires it, to protect our rights or the safety of others, or as part of a merger, acquisition or sale of assets, in which case this policy continues to apply to the information transferred.
Data in our products
When a customer uses one of our products, we process the information they store in it on the customer’s behalf, under that customer’s agreement with us and the product’s own privacy policy. We don’t use customer data for any other purpose.
SubmissionVault, COMPLicense and RelayDesk are designed to hold business information, not patient data. MedGuard is designed for organizations that manage documents regulated under HIPAA; how protected health information is handled in a MedGuard deployment is governed by our agreements with that customer.
How long we keep information
We keep contact inquiries for as long as we need them to respond to you and follow up on your request, and for any ongoing business relationship. After that, we delete them unless the law requires us to keep them longer. Server logs are kept according to our hosting provider’s standard retention periods.
Security
We use reasonable technical and organizational measures to protect personal information, including encrypted connections (HTTPS) for the Site. No method of transmission or storage is completely secure, so we can’t guarantee absolute security.
Your choices and rights
You can ask us to access, correct or delete the personal information we hold about you, or to stop sending you product updates, by emailing contact@compliancevault.group. Depending on where you live, you may have additional rights under local law. We’ll respond within the time the law requires, and we won’t treat you differently for exercising your rights.
Children
The Site is intended for businesses and isn’t directed to children. We don’t knowingly collect personal information from children under 16. If you believe a child has sent us personal information, contact us and we’ll delete it.
Changes to this policy
We may update this policy from time to time. When we do, we’ll change the “Last updated” date at the top of this page. If a change is significant, we’ll make it clear on the Site.
